POSITION SUMMARY

This position demands a strong cognitive aptitude, an ability to meet pressing deadlines and a keen drive for excellence. The Administrative Assistant performs general clerical duties by ensuring the efficient, smooth operation of company processes; provides reception duties, assists operations such as employee intake, equipment file maintenance, and ensures that all individuals contacting Sun Ridge Contracting Ltd. are greeted in a polite, helpful and courteous manner.

KEY JOB FUNCTIONS

  • Answer telephone and electronic enquiries and relay telephone calls and messages.
  • Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with other departments and organizations.
  • Perform other administrative support tasks, including updating and sorting files, drafting and proofreading, correspondence, filing, typing, copying, binding, scanning and conducting research as requested.
  • Is responsible for validity of data, accuracy of reports; creates tables, manipulates data, uses forms to input data, produces professional reports for internal and external communications.
  • Monitor and manage inventory of office supplies; order and distribute office supplies as necessary; placing expedited orders for supplies; verifying receipt of supplies.
  • Coordinate and schedule appointments and meetings for senior management.
  • Provides backup relief for other positions within the office as required.
  • Assist with the recruitment process by identifying candidates, performing reference checks and issuing employment contracts.
  • Processes paperwork for new employees efficiently and in accordance with protocols.
  • Prepares employees for assignments by establishing and conducting orientation and registering employees for training and programs.

ABILITIES

  • Business Operation – Strong knowledge base when it comes to business operations, and functions when it comes to customer service, organization, finance, and human resources.
  • Computer Skills – Understanding of operating systems such as PC, Mac. Proficient in using Microsoft products such as excel, word, outlook, teams etc. Understanding how to search, assess search results and download information from the internet.
  • Strong Oral Communication Skills
  • Written Communication – Writes clearly and informatively, edits work for spelling and grammar, varies writing style to meet needs, presents numerical data effectively, able to read interpret written information with a high attention to detail.
  • Planning/Organization –Has a sense of urgency to meet deadlines, when working alone or as a part of a team. Work under pressure, with minimal supervision, and possess the ability to function efficiently and organize work with minimal direction; be a quick learner; have the ability to prioritize work.
